Refund Policy
Refund & Cancellation Policy – Wistoria Events
Last updated: June 20, 2025
At Wistoria Events, we value transparency and professionalism in all our client relationships. The following outlines our refund, retainer, and cancellation policies as they relate to our wedding planning, coordination, and floral design services.
1. Nonrefundable Retainer
A nonrefundable retainer is required to secure your event date. This retainer ensures your spot in our calendar and covers pre-event planning and administrative work. All bookings are first-come, first-served and subject to availability. No dates will be held without a signed agreement and payment of the retainer. The retainer is nonrefundable under any circumstances.
2. Refundable Security Deposit
In addition to the retainer, a refundable security deposit is required for any rental(s). This deposit:
-
Is due on the day before event (to be confirmed in advance)
-
Must be paid in full before the event date
-
Covers potential loss, theft, or damage to rented items provided by Wistoria Events
Following the event, an inventory check will be performed. If all rented items are returned in original condition, the full deposit will be refunded the next day.
If any item is lost, stolen, or damaged:
-
The retail replacement cost will be deducted from the deposit
-
A detailed list of affected items and costs will be provided to the client
-
If the cost exceeds the deposit, an invoice for the remaining balance will be issued
-
The client will have two (2) days from the invoice date to submit payment
3. Cancellations by the Client
3.1. If a client chooses to cancel their event, they must provide written notice at least one (1) month prior to the event date and before the final payment is made.
3.2. The client must also sign a cancellation confirmation form to release Wistoria Events from all agreed-upon obligations.
-
If cancellation occurs after the final payment, no refunds will be issued.
4. Refunds (If Applicable)
Refunds are granted only in rare cases, and strictly on a case-by-case basis, in line with the terms outlined in each client’s signed agreement.
-
If Wistoria Events is unable to perform the agreed-upon services due to unforeseen internal circumstances, a partial or full refund may be considered.
-
All refunds, if issued, will be made using the original payment method.
5. Force Majeure
In the event of a FORCE MAJEURE or unforeseen external event (such as a natural disaster or public emergency, death of client/partner), Wistoria Events will offer to reschedule your services at no additional charge ONCE. Rescheduling is based on availability of Wistoria Events and based on work already completed. If the client is unable to find an available date that aligns with Wistoria Events’ schedule, the agreement may be subject to cancellation. You will still forfeit the retainer.
6. Contact
If you need to request a cancellation, refund, or have questions regarding your deposit, please contact us at info@wistoriaevents.com. We are happy to discuss your situation respectfully and with care. Each agreement is tailored to the individual client and may include unique refund terms specific to their event.
