From Weddings to Baby Showers! When people think about event planning, weddings are usually the first thing that come to mind. And while weddings absolutely require thoughtful planning and coordination, the truth is that every celebration benefits from intentional planning—whether it's a bridal shower, engagement party, birthday, or welcoming a new baby.
Recently, I helped plan and design a “Baby in Bloom” baby sprinkle, and it was a perfect reminder that even smaller, more intimate events deserve just as much care and creativity as large weddings.
The First Steps to Planning a Successful Event
Whether you’re planning a wedding, a baby shower, or a small gathering at home, starting with a clear plan will make the entire process much smoother. Here are a few foundational steps I always recommend when planning any event.
1. Decide on a Budget (and Give Yourself a Buffer)
Before anything else, determine how much you want to spend. Your budget will guide decisions on everything from venue to food to decor. It’s also important to build in a small buffer. Unexpected costs always come up during event planning, whether it’s extra flowers, additional food, or last-minute supplies.
2. Assign Tasks If You’re Not Hiring Professional Help
If you’re not working with an event planner, don’t try to do everything yourself. Assign tasks to trusted friends or family members. For example, someone can handle the food setup, another person can refill drinks, and someone else can help with activities or guest check-in. Delegating responsibilities makes the event run more smoothly and allows you to actually enjoy the celebration.
3. Create a Timeline — Plan for the Week, Not Just the Day
Many people only think about the event timeline for the day of the celebration, but planning the week leading up to the event is just as important. Get as many items as possible ahead of time so you’re not scrambling the day before. Prep what you can, organize your supplies, and label everything. Labeling bins, boxes, and decor pieces can save you a lot of time when it comes to setup.
4. Create a Floor Plan or Layout for Your Vision
Before the event day, think through how you want the space to flow.
Where will the dessert table go? Where will guests sit? Where will activities happen?
Having a simple floor plan helps ensure the space feels organized and intentional, and it also helps anyone assisting you with setup understand the vision.
5. Give Yourself Extra Time to Set Up
One of the biggest mistakes people make when planning events is not leaving enough time for setup. Even if you think you’ll finish early, it never hurts to give yourself extra time. That extra cushion allows you to adjust details, troubleshoot issues, and even take photos or videos before guests arrive.
6. Make Sure Someone Is Managing the Timeline
During the event, someone should always be keeping track of the timeline. This ensures that activities, food service, speeches, or games happen at the right time.
If you’re the one managing it, write the timeline down so you’re not trying to remember everything in the moment.
The Power of Planning
At its core, event planning is about creating an experience.
It’s not just choosing decorations or ordering food. It's thinking through the flow of the day, how guests will interact, and what moments will feel special and memorable.
For example, at the baby sprinkle we recently hosted, the details were simple but meaningful:
A floral-inspired “Baby in Bloom” theme
A beautifully styled dessert table that became a focal point
A mimosa bar with a variety of juices and garnishes
A paint-and-pot station, where guests painted flower pots and repotted plants to take home
The activity ended up being the highlight of the event. Guests weren't just attending the celebration—they were participating in it.
This is exactly what thoughtful planning does: it turns a gathering into an experience.
Intimate Events Still Deserve Beautiful Details

One of the biggest misconceptions about event planning is that only large events need design and coordination. In reality, intimate gatherings often benefit the most from thoughtful details.
A well-designed dessert table, a fun interactive activity, or a cohesive theme can elevate a small celebration and make it feel incredibly special for guests.
Whether it's a wedding with 150 guests or a baby sprinkle with 20 close friends and family, the goal is the same: Create a moment people will remember.

One of the things I love most about planning events is that every celebration tells a story.
Weddings tell the story of two people starting their lives together. Bridal showers celebrate friendships and support. And baby sprinkles celebrate the excitement of welcoming new life.
When planning is done thoughtfully, those stories come through in the details—from the colors and florals to the activities guests participate in. And that’s where the magic of event design really lives.
